Does your ITAM/ITAD vendor have Downstream Data Coverage?

These questions typically include:

  • How do you destroy data – onsite/mobile, at your location?
  • Do you provide other media shredding?
  • What are your IT recycling policies?
  • How do you remove IT Assets, and how do you ensure your process is secure?
  • Can you handle remote and hybrid work environments, and how?
  • What reporting of assets do you provide? Does it include certificates and liability?
  • What certifications and memberships does your company hold?
  • What is your customer service experience?
  • How are your employees trained and updated on industry changes and requirements?
  • List industries in which you are compliant.
  • How do you ensure your facility is secure, and can we visit/inspect that process?

These are excellent questions and standards, and the way these questions are answered, or not, should give you an indication into the quality of the company you are engaging with. However, digging a bit deeper can increase your confidence level when it comes to making that final selection.

Perhaps the most vital question being, what happens if something goes wrong?
We’ve now seen headline news reports of data breaches  and the responsibility and fines companies incur when something goes wrong with their ITAD vendor and their processes. It’s a story that can be avoided.

It is more important than ever to look for a company with Downstream Data Coverage.

This coverage means that in the unlikely event that a data breach occurs at your vendor of choice, you, your clients, and anybody else affected by the breach is covered by their Downstream Data Liability Coverage Policy. The amount of coverage matters too.

In the end, you are 100% responsible for which vendor you choose. It’s expected that you be overly thorough rather than under. The right vendor will also understand why you are asking, and should never make you feel that you are being too cautious.
